Job Description:
+ QUALIFICATIONS+ Required: Associates degree required or
appropriate experience in lieu of degree.+ Required:
Self-motivated, independent worker with the ability to manage
multiple projects and priorities while meeting deadlines required.+
Required: Excellent verbal, written communication, and
interpersonal skills;+ Required: Experience with IBM PC systems and
Microsoft Office.+ Preferred: Strong analytical and organizational
abilities;+ Preferred: Familiarity with medical terminology
preferred;+ Preferred: 1-3 years experience with office management
or previous positions of increasing responsibility.+ JOB SUMMARY+
Performs a wide range of complex project-related and secretarial
duties, and coordinates a multitude of office procedures to ensure
that Units and Management Team are able to operate in an efficient
manner. Provides daily assistance to the Management Team by giving
administrative support and taking on/participating in various
projects as assigned.+ PHYSICAL DEMANDS+ Frequently works at a
computer for extended periods of time.+ Frequently conducts
business via telephone.+ Frequently changes positions and moves
from one area of the hospital to another.+ Frequently works in
crowded, noisy environment.+ Occasionally carries boxes/materials
weighing up to 40 lb.+ Occasionally stands for extended periods of
time.+ COGNITIVE DEMANDS+ Frequently uses independent judgment and
problem-solving techniques in working with external and internal
staff.+ Continuously communicates with others using effective
listening, written and verbal skills.+ Prioritizes different
projects to meet deadlines.+ Initiates work independently, knows
how to access resources and can handle multiple responsibilities
simultaneously.+ Adjusts schedule to adapt to changing priorities.+
Uses Universal Precautions when necessary.+ Reads and interprets
information from a variety of sources, conducts research for use to
improve all aspects of administrative assistance.+ ESSENTIAL
FUNCTIONS + Prepares confidential letters, memos, reports, etc.
within established deadlines. + Coordinates all aspects, internally
and externally, dealing with presentations, staff education, and
meetings related to the unit management team. + Inputs data,
prepares graphs and posters as needed. + Assists Unit Management
team by taking over various projects that require research and
follow up. + Copies and distributes materials as required. +
Provides project support to unit staff as needed. + Performs
miscellaneous duties as requested. + Maintains/updates all unit
manuals as assigned. + Maintains staff meeting minutes as assigned
+ Attends committee meetings for facilitation and minute taking. +
Sends out new employee letters and schedules to new hires. +
Maintains the Service Lines board on Info Row. Solicits ideas from
management team. + Responds to staff questions and/or direct to
appropriate manager. + Assists with certain assigned tasks in
absence (i.e. vacation/LOA) of manager. + Assists with attendance
control for the units as assigned. + Completes or provides back-up
to timekeeping functions as assigned. + Assists managers with
performance evaluation process by distributing performance
evaluation tools and educational transcripts per manager
instructions. + Assists managers in the completion and tracking of
employees LOA documentation as assigned. + Maintains clinical
staff's holiday and weekend rotation schedule + Participates in the
weekend make-up up process by tracking and informing appropriate
manager. + Assists unit managers and/or Staffing Resources with
staffing/scheduling tasks as assigned. + Demonstrates competence in
use of all office equipment, including but not limited to computer
(Microsoft Office), copy machine, fax machine, telephone equipment.
+ Attends all relevant staff meetings and inservices. +
Demonstrates awareness of hospital policies and procedures. +
Assists with orientation of new staff. + Assists with maintaining
the orderliness and cleanliness of unit/work areas. + Organizes
time effectively and meets deadlines as assigned.
