Job Description:
The VelociGene department is looking for a motivated, Sr
Administrative Coordinator to provide administrative support to a
team of 100 individuals including VP, directors, managers,
supervisors, and research staff. The ideal coordinator candidate
needs to be extremely organized, detail-oriented, with the ability
to learn quickly, work independently as well as with a team, and
possess high-level time management skills. In this exciting role
you will drive calendar management, managing meeting invites and
all associated logistics and communications, coordinating travel
and processing expenses, as well as other administrative and
operational support for the department. A Typical Day In The Role
Might Look Like : Provide general administrative support to direct
supervisor and various levels of management and staff within the
VelociGene department and specialty lab. Maintain department and
managerial staff calendars; including meeting invitations and all
associated logistics (agenda items, invite and attendee lists,
catering, etc.) while utilizing a basic understanding of department
priorities and applying that knowledge to actively resolve
conflicts. Help plan, coordinate, and execute departmental events,
celebrations, and meetings, including all necessary logistics.
Compiles and processes various departmental documents and
correspondences. Coordinate and schedule guest speakers/visitors as
requested, including travel, meeting coordination, Relays and
resolves telephone and walk-in inquiries or other guests. Assist
department employees with travel arrangements, conference
registration, and expense reporting. Responsible for distributing
incoming mail and coordinating external shipments. Orders, stocks,
distributes, and takes inventory of office supplies as well as
other specialty supplies as requested. Process forms, enters data,
maintain records and generate reports as required. Serve as a key
resource to provide information and answer inquiries regarding
department operations and company policies and procedures. Build
and maintain positive, professional relationships with all levels
of department staff, employees, and external partners to ensure
positive experience, facilitate communication, and successful task
completion. This Role May Be For You If : You are a collaborative
teammate with proficient written and verbal communication skills,
actively listens and builds relationships, demonstrates effective
customer service, exhibits high attention to detail, has ability to
interact with all levels of employees and maintain confidentiality.
You demonstrate strong initiative and drive to complete tasks,
enjoy working independently and within teams on multiple tasks or
projects simultaneously. You anticipate and proactively adjust for
challenges and roadblocks, understanding how/when to provide
feedback and when to escalate to the right people. You are
proficient in MS Office and have experience with SharePoint, Concur
and teleconference systems with ability to learn new technologies
quickly and easily. This role requires an Associate or BA/BS, with
BA strongly preferred. Minimum of 2 -4 years of relevant
administrative experience in a fast-paced environment.
Collaborative team player with excellent oral and written
communication skills. Excellent organizational skills with
demonstrated attention to detail. Ability to learn new technologies
and systems quickly and easily. Proficient is all MS Office
